1. Information We Collect

Information You Provide Directly

• Account information — name, email address, password
• Profile information — job title, phone number
• Travel profile — legal name, date of birth, seat preferences, TSA PreCheck number, Known Traveler Number (KTN)
• Passport information — passport number, country of issue, expiration date, legal name as it appears on passport
• Emergency contacts — name, relationship, phone number
• Dietary restrictions — food preferences and allergies you choose to disclose
• Reward memberships — airline and hotel loyalty program numbers
• Tour and event data — venue information, schedules, guest lists, set lists, settlement data, advance sheets, and related touring information you enter into the Service

Information We Collect Automatically

• Log data — IP address, browser type, pages visited, time spent, referring URLs
• Device information — device type, operating system, unique device identifiers
• Location data — approximate location derived from IP address; precise location only if you grant permission for drive time and venue proximity features
• Usage data — features used, actions taken, frequency of use

2. How We Use Your Information

We use the information we collect to provide, operate, and maintain the Service; create and manage your account; enable tour management features; display roster information to authorized members of your organization; calculate drive times and surface nearby venues; send transactional emails; monitor and analyze usage; detect and prevent security incidents; and comply with legal obligations.

We do not sell your personal information. We do not use your data to serve third-party advertising.

3. Sensitive Personal Information

Bus Call collects sensitive personal information including passport numbers, dates of birth, and dietary information. This information is stored encrypted at rest, only accessible to you and authorized administrators of your organization, never sold or shared with third parties except as required to operate the Service, and subject to additional access controls including password re-authentication before viewing passport data.

4. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. Information is shared only within your organization based on role permissions, and with service providers (Supabase, Vercel, Resend, Anthropic, Google, Sentry, Upstash, Stripe) solely to operate the Service. We may disclose information when required by law.

5. Data Retention

We retain your data for as long as your account is active. If your organization loses its management account and the 14-day grace period expires, tour data is permanently deleted. Your song library is never deleted. We delete personal data within 30 days of account deletion.

6. Data Security

All data in transit is encrypted via TLS. Data is encrypted at rest. Passport and sensitive PII requires password re-authentication to view. No method of electronic storage is 100% secure, but we are committed to protecting your data using reasonable means.

7. Your Rights

You may have rights to access, correct, delete, or export your personal information. California residents have additional rights under the CCPA. EEA/UK residents have rights under GDPR. To exercise your rights, contact us at privacy@buscall.io. We will respond within 30 days.

8. Children's Privacy

Bus Call is not directed at children under 13. We do not knowingly collect information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the Service.
